Virginia Health Workforce Development Authority Fiscal/Administrative Assistant

The Fiscal/Administrative Assistant will assist the Executive Director with accounting and financial record-keeping, manage database files, and perform routine office and clerical duties to assist with general operations.

Major responsibilities include:

  • Monitor, reconcile, and assist with fiscal administration, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and/or purchasing
  • Receive and review all incoming bills/invoices, resolve discrepancies as necessary and enter invoices into QuickBooks Online for payment
  • Maintain current knowledge of grant funding policies, regulations, and procedures
  • Perform a range of diverse administrative activities such as answering telephones, assisting and resolving problems and inquiries, review and control of incoming and outgoing correspondence, and follow-up on operational commitments
  • Utilize knowledge and understanding of underlying operational issues to create, compose, and edit technical and/or administrative correspondence and documentation
  • Establish, update, and maintain files, inventories, and records; implement and maintain data management systems, as required
  • Other duties as assigned by the Executive Director

Minimum Requirements

The ideal candidate will have at least four (4) years of experience in complex clerical work in one or more fiscal/administrative functions such as bookkeeping, accounting, budget management, or grant administration. Fluency with QuickBooks Online, word processing and data management systems, particularly Microsoft Office. Excellent verbal and written communication skills, with the ability to effectively communicate with diverse groups. Familiarity with standard administrative, budget and financial policies and procedures.
